A Practical PAT Testing Workflow

Equipment Records Built Around the Site

The equipment register stores the details an engineer needs to distinguish one item from another: description, equipment reference, make, model, serial number, location, equipment type, status, photo and QR value. Custom equipment fields can hold additional text, numbers, dates, checkboxes or selected values required by your process.

The app can scan QR, Code 128, Code 39, EAN-13 and EAN-8 formats when finding equipment. It can also assign or generate a QR value and display a QR code. Field Ascend does not claim to print physical PAT labels; use your existing label printer and label process for that step.

Recurring Work Without Assuming “Annual PAT”

Testing intervals are not universally annual. Your competent person or customer should set an interval using the equipment, environment, frequency of use, user behaviour, maintenance history and relevant guidance. Field Ascend records and runs the schedule you choose; it does not make that risk decision for you.

An Offline-First PAT Testing App

The engineer app keeps job-critical data in local SQLite storage and queues changes for background synchronisation. That supports work in plant rooms, basements and other areas with unreliable connectivity without making the server the engineer's live data-entry screen.

The app does not claim a direct connection to a PAT test instrument. Electrical readings are entered into fields configured by your business; there is no advertised automatic download from tester hardware.

PAT Certificate Software: What the PDF Actually Contains

When an engineer completes a PPM check, Field Ascend can generate a PDF from that completed record. The output follows the checksheet fields and content your business has configured, and can include captured signatures, photos and a defects summary.

This is more accurately described as configurable inspection reporting than a pre-certified, instrument-specific PAT certificate package. Field Ascend does not claim that every configured PDF automatically satisfies a customer, insurer or regulatory body. Before use, your competent person should review the checksheet, required readings, declarations and PDF layout against your procedures and contractual requirements.

Keep Failed Items Connected to Follow-Up Work

Configured PPM checks can enable defect tracking. Engineers can record a finding against the equipment, add severity, notes and supporting photos, while unresolved defects can be shown on a later check. The wider job system can then support action lists, quotes, jobs and invoices for authorised follow-up work.

The software records what your engineer observed and what your team did next. It does not decide whether equipment is safe, whether it must be removed from service or what remedial action is technically appropriate.

What PAT Compliance Means in Practice

“PAT” is a familiar industry term, but UK legislation does not generally say that every portable appliance must receive a formal PAT test every year. Employers, landlords and dutyholders may have different obligations, and the applicable law and guidance depend on the setting. The underlying aim is to keep electrical equipment safe and maintain it appropriately.

A sensible inspection and testing programme is risk-led. Equipment construction, how and where it is used, how often it is moved, the likelihood of damage and previous results can all affect the selected inspection or test interval. Visual checks, formal inspection and electrical testing are related controls, not interchangeable labels.

Can the PAT testing app identify equipment by QR code or barcode?

The engineer app can scan QR codes and common barcode formats to find equipment records. Teams can assign or generate a QR value for equipment and display its QR code. Printing physical labels requires your own label-printing process.

Does Field Ascend work offline during testing?

The engineer app is offline-first for job-critical data. Engineers can work from locally cached jobs and complete configured PPM checksheets without a reliable signal; queued changes sync when connectivity returns.

Does Field Ascend decide how often appliances should be tested?

No. Field Ascend records the schedules and intervals your competent person or customer has chosen; it does not prescribe a universal annual cycle or make the risk assessment for you. PPM contracts and schedules can then create the recurring jobs.

Is Field Ascend PAT certificate software?

Field Ascend can produce a PDF from a completed configurable PPM checksheet, including fields and signatures you configure. Because the system is not a dedicated PAT instrument-download package, you should confirm that your checksheet and PDF contain the evidence required by your procedures and customers.

Does Field Ascend connect directly to PAT test instruments?

No direct PAT tester instrument download or automatic transfer of readings is claimed. Results are entered into the fields you configure in the engineer checksheet.

Is PAT testing legally required every year?

UK law requires electrical equipment provided for use at work to be maintained so it remains safe, but it does not impose a universal annual PAT test for every appliance. Inspection and test frequency should be based on risk, equipment, environment, use and relevant guidance. Field Ascend helps administer the interval you decide; it does not determine compliance.

Can PAT work flow through to invoicing?

Field Ascend includes job and invoice workflows, with accounting connections available elsewhere in the platform. The PAT workflow itself does not imply automatic creation of an invoice from each appliance result.
