How do credit notes work after the invoice is sent?

Raise a credit from the invoice that needs correcting, or start a standalone note from Credits → New Credit Note. Invoice lines copy across with checkboxes, so a partial credit is a few unchecked boxes rather than a retype. A draft stays fully editable: line items, tax, details, even the number.

From an invoice, or standalone

Open the invoice and click Credit Note. Choose copy invoice lines (check what you are crediting, edit qty or price) or a single amount, then enter a reason. No invoice? Credits → New Credit Note starts a standalone credit against the customer. Both routes show on the lifecycle flowchart.

Post, then it locks

Post to QuickBooks / Xero / Sage Accounting / Zoho Books / FreeAgent creates the credit in that system with the same account-code and tax mappings as invoices, then locks the Field Ascend copy as Issued. When the linked invoice is already posted to the same system, the credit is auto-allocated against it. See accounting integrations and QuickBooks.

Sage 50 is export, not a live link

Sage 50 has no live API. Click Mark as Posted to lock the credit as Issued, then include it in Sage 50 Export. It goes out as SC rows alongside your SI invoice rows. If no accounting system is connected at all, Mark as Posted simply locks the note.

Un-Post or Void

Un-Post returns an issued credit to Draft so you can fix a line and post again. It does not delete the copy already in QuickBooks or Xero. You still void or delete it there. Void needs a reason. The record stays, but a voided credit stops reducing the invoice or customer balance used by credit control.

Line items on the PDF

Credit PDFs use their own template library. Add the Line Items section, or place {{credit_items_table}} in the advanced designer, if you want the itemized table. Nothing prints unless you put it on the template. Job documents stay on the job. Credits do not carry invoice file attachments.

List, email, customer portal

The credit list has Post Selected, a Posted column, and an Emailed column. Email one credit or a batch. Deleted drafts go to the recycle bin. Issued credits cannot be deleted: un-post or void them first. The customer portal uses the same posted-only setting as invoices. Voided credits never appear there.
